Applied Programmed Maintenance on a winner with Kevah
Applied Programmed Maintenance might be still a relative newcomer to the Australian commercial cleaning and management sector, but it is already making a big impact thanks largely to its use of the Kevah reporting system.
The company's National Operations Manager, Troy Grave, has high praise for the system, which has been developed by Sydney-based software company Valorem Systems Australia.
Troy says Kevah brings significant cost savings and productivity benefits, and some clients have been so impressed by the system that they have followed suit and implemented it into their own companies.
"Kevah has already paid for itself and it has actually won me jobs, and that is great," he says. "For me, it has actually changed my lifestyle - I don't have to go home and work now."
APM was established about six months ago, and is a sister company to Applied Window Cleaning, a successful business spanning about 30 years. APM offers a 'one stop shop' approach to property management, including commercial and industrial cleaning, caretaking, garden maintenance, building audits, waste management and even security.
Troy introduced the Kevah system about three months into the company's launch, after using it successfully in another cleaning company.
"I was using it at a previous job where it replaced the old style pen and paper system, and was very impressed at how effective it was," he says. "Kevah has already paid for itself and it has actually won me jobs and that is great."
A major advantage offered by Kevah is its ability to generate reports that are time and date stamped and include documentation and even photographs. These can easily be electronically transmitted to the client, meaning they can have almost instant access to information.
Troy has no doubt that Kevah has given his company a significant competitive edge, and was invaluable in dispute resolution. It also allows him to dedicate more time to growing the business, which already has an impressive list of more than 200 clients. He believes APM's popularity has a lot to do with Kevah.
"It works like a dream," he says. "It holds everyone accountable and leaves no room for mistakes, and our clients see great value in that."
He says reporting is vital in the property management industry, but it could be time consuming and cumbersome to do it manually. He is impressed with the flexibility of the Kevah platform that has allowed him to include Key Performance Indicators in reports.
"It is very important that our clients can see how well we are performing and that we can measure how well we are performing," he says. "Our clients have been very impressed and we've blown a lot of people away with Kevah.
"I used to be inundated with phone calls from clients wanting reports and now everyone waits happily for their reports."
These reports are generated according to the client's requirements. Troy says some clients have reports twice a week, while others only have them once a month. Either way the process is far simpler than the traditional reporting method where staff would be required to take manual notes at the site of a job, take photographs, and then return to the office, write up a report on the computer, download photographs and file hard copy notes and forms. Kevah does all that for them with the convenience of a handheld device.
"Inspections are a big part of what we do and I believe that Kevah has halved the amount of time I need to be out, and that means huge cost savings," says Troy.
