Pisys Permit To Work system adopted by major laundry and textile services provider

* Pisys.jpegLaundry and linen rental services specialist Clean Services has implemented the Pisys Permit to Work system across its UK operations, replacing a paper-based approach and delivering immediate improvements in site visibility, contractor management and permit processing speed.

Pisys, a Scottish software company specialising in cloud-based HSEQ systems for industries including energy, food, education and healthcare, provides its flagship Permit to Work system to organisations worldwide to manage risk efficiently.

Clean Services provides high-quality laundry and linen rental services to hotels, hospitality businesses and workwear clients, operating seven sites across the UK. Each site can contain up to 50 separate working areas, with hundreds of subcontractors active across the estate at any one time carrying out maintenance, testing and equipment upgrades.

The company had outgrown its previous paper-based permit system. Visibility of activity across sites was limited, reporting was difficult and contractor management had become a significant administrative burden, with large volumes of manual certification and competence checks required before personnel could begin work.

The Pisys system addressed each of these requirements directly. A simple interface allows permits to be issued and handed back quickly - important in a business where jobs move at pace. A centralised overview gives managers real-time visibility of activity across all sites, making it easier to plan resources and identify where planned work may conflict with other nearby tasks.

Isolations management, including Lockout/Tagout procedures for electrical equipment, is handled within the same system. Risk Assessment Method Statements are integrated into the permitting process, and contractor certification and insurance can now be tracked proactively, with lapsed documents identified well before personnel arrive on site.

Pisys also developed accurate plot plans for each site; schematics showing the precise location of each active permit, giving managers a clearer operational picture than a paper-based system could provide.

"This was a really great strategic move for us,” says Chris Bell, head of safety, sustainability & environment at Clean Services. “We're now able to work more efficiently and plan tasks more effectively, which in turn means our clients get a quicker response. The system is excellent, Pisys has been around for decades and its attention to detail and overall care and pride in its work is evident in every interaction we have."
